The Result

  • ROI = 8.4 months
  • Saving 27,000 hours of labor for 200 schools
  • One platform to manage keys across all school sites

Key Management Challenges – Before Torus

  • No accountability for keys and their usage.
  • Staff often forget to return keys, making them unavailable for others – causing delays, wasted staff and contractor time.
  • Lost or missing keys led to frequent requests to cut new keys, creating a security risk and unnecessary expense.
  • Keys were often taken off-site or moved between locations due to mismanagement.

Torus Cabinet Installation

  • Torus cabinets are being installed across all 200 school sites.
  • Each cabinet is conveniently located near the main entrance and monitored by security cameras.
  • A standard key layout is used across all cabinets to ensure consistency. This improves familiarity, speeds up access, and ensures adoption and compliance. For example, HVAC keys are located in the same position in every cabinet across sites.

Access and Availability

  • Temporary-use keys (e.g., for engineering, maintenance, and repairs) are stored in the cabinets.
  • Staff and contractors can go directly to the site without needing to collect keys from another location.
  • Keys are readily available and easy to access.
  • Key access is linked to each individual’s school credential, ensuring accountability.
  • Torus cabinets secure emergency, master, and weekend keys, which can be assigned to staff and contractors quickly and easily.

Role-based Access Management

  • Access groups are created for each role (e.g., electrical, plumbing, HVAC) across all cabinets, simplifying key management across 200 sites.
  • Each role (e.g., electrical, plumbing, HVAC) is assigned a designated set of keys, securely stored and controlled at every location.
  • Permissions are updated dynamically, allowing new staff or contractors to access the correct keys. Access can be revoked in real time.
  • With Torus, a small team can effectively manage keys and personnel across 200 sites.

Monitoring and Reporting

  • Timers are set on all keys, with durations based on key type and purpose.
  • If a key is not returned on time, SMS reminders are sent to the user and email alerts to administrator, improving on-time key returns.
  • Administrator receives text notifications when overdue keys are returned – no need log in, ensuring visibility even after hours.
  • Accurate and timely returns keep keys available for the next user.
  • Torus dashboard shows real-time visibility of which keys are in or out, preventing delays and keys unavailability.

Future Enhancements

  • Future plans include creating a dedicated administrator role specifically for emergency responders.
  • This role would have limited permissions but retain the ability to take critical actions during an emergency.
“By eliminating our manual handling of keys, Torus has greatly improved our security and efficiency. We no longer have the frustration of keys going missing and our administrative time has been significantly reduced. If keys are not returned at the end of each day, my team is notified instantly via SMS and email”.
