Challenge: Paper-based system to log key transactions

The key management process was manual, inefficient, and time-consuming. Staff relied on a paper-based key log register and contractors were required to complete each time they needed access to keys. As a result, the contractors were often not accountable for returning keys on time.

This made it difficult for staff to monitor who had which keys and when they were taken. This manual, paper-based system raised concerns about the safety of students, staff and critical assets. It exposed the school and its community to unnecessary risks. Ivanhoe Grammar needed a solution that would automatically secure keys when they aren’t used and provide controlled access when required by staff and contractors.

Solution: Automated access control solution for keys

The school administrators installed 1 Torus-50 at their facilities management building. The relevant staff now have complete control over who can access keys, and when.

When keys are not in use, they are secured within the Torus cabinet. If keys are not returned on time, real-time SMS are sent to the contractor or staff member, reminding them to return the keys. Now that their key management is automated and secure, Ivanhoe Grammar is saving a significant amount of wasted time every year.
