Challenge: Manual key management system with no Microsoft Azure SSO integration

The key management process was manual and inefficient. Keys were distributed ‘by hand’ across departments without centralized control. This lack of control made it difficult to track who had which keys and when. As a result, there were significant security risks because keys were regularly unaccounted. The City wanted a key management system with Microsoft Azure Single Sign-On (SSO) integration.

Without proper controls, Glendale’s employees and contractors had unrestricted access to critical keys, leading to lost or missing keys and potential security breaches. There was no effective process in place to locate lost keys or prevent keys from leaving the site. This resulted in operational delays for staff and contractors when keys were not available. In addition, the absence of a centralized database contributed to missing data and records, making it impossible to improve operational efficiency.

Solution: Integrated key management system

The management team realized the City needed a new key management system. They selected Torus, installing a Torus 50 position cabinet, controlled by the Torus Software with Azure SSO providing a single platform.

It is now easy to monitor keys who has them and ensure that only authorized personnel have access. They can trace the last ‘key user’ whenever required. This allowed management to quickly address instances of lost, damaged, or misplaced keys. Now that their keys are under control, City of Glendale is saving an enormous amount of time and potential costs every year.
