Waukee Community School District (WCSD)

Challenge: No access control to manage physical keys for multiple facilities and fleet vehicles

The school district faced significant challenges managing physical keys for multiple facilities and fleet vehicles. Keys were managed manually, leading to a lack of visibility into who had keys or vehicles at any given time. This lack of accountability resulted in lost or misplaced keys, and considerable time wasted searching for keys. Additionally, there was no effective way to ensure that only authorized personnel accessed specific keys, particularly for fleet vehicles.

The ability to integrate a key management solution with the Gallagher Security Command Centre was an important requirement for WCSD to streamline access to keys  across the school district.

Solution: Torus + Gallagher Security integrated – access control solution for keys

Recognizing the need for an integrated solution, WCSD selected Torus and initiated a pilot project by installing 2 Torus key cabinets. After a successful trial, they expanded their implementation to installing 22 cabinets across 22 sites. These cabinets are managed through a single Torus software account that is tightly integrated with the Gallagher Security Command Centre, delivering a unified and secure key management platform.

The Baker Group installed and configured the integrated system. The elegant Torus + Gallagher integration has allowed WCSD administrators to easily manage key access permissions for staff and contractors directly from the Command Centre. Torus has eliminated the burden of manual key handling, providing real-time accountability and visibility over key usage. WCSD is saving an enormous amount of staff and contractor time every year.
