Challenge: Inefficient key management system leading to security risks and lost keys

Managing keys across 44 school sites is a significant challenge for the school district. The key management process was inefficient, frustrating, and time-consuming. Staff and contractors wasted hours traveling to a central location to collect and return keys. Often, essential keys were not readily available, resulting in lost time and money daily.

Keys frequently went missing leading to the replacement of hundreds of keys at one site alone, over the last year. This included master keys which raised security concerns for staff, students and valuable assets – requiring security personnel to spend hundreds of hours maintaining key usage, trying to track who has them and ordering missing keys and parts.

Solution: Automated access control solution for keys

Twin Rivers required a solution to secure keys when not in use and manage access to keys when required by their staff and contractors. The requirement extended across the entire school district, but they first wanted to prove a solution at their administration and facilities management offices.

The Director of Operations implemented Torus in their facilities building and now management personnel have complete control of who can access critical keys. If keys are not returned then real-time SMS and email alerts are sent to the ‘holder’ of the keys and also to facilities managers. Now that their key management is automated, Twin Rivers is saving an enormous amount of time and money every year.
